We are the responsible party for personal information we collect through this website and related enquiries. This page does not identify the Information Officer by name. Send privacy requests to the email above and we will refer them to the person responsible for handling them.
2.What we collect
We collect information you submit through our website forms and related communications to respond to enquiries and manage event work. The details vary by form and request.
- Identity & contact — name, email, phone, company / role (when you give them)
- Enquiry content — message, event type, dates, venue city, brief details you send
- Communications — WhatsApp, phone, and email threads when you contact us
The site uses browser storage for interface preferences (including theme and sidebar settings) and authentication where applicable. The application source reviewed for this notice does not configure analytics or advertising trackers. Hosting and service providers may process technical data, such as IP address and browser information, in operational logs; the exact fields and retention periods must be confirmed with those providers.
We do not collect payment-card details through these website forms.
Please include only details needed for your event enquiry. Do not include identity numbers, health information, or other sensitive personal details unless they are necessary for us to respond.
3.Website forms and replies
When you submit a website enquiry or date request:
- Your contact, booking, and homepage brief submissions are stored in our Supabase
enquiriesdatabase so the team can review and respond. - The contact and date-request forms do not send an automatic email receipt or team notification. The homepage brief form attempts to email the submitted name, company, email, phone, and brief to the team through Lovable's transactional email service; that notification can fail even when the brief has been saved.
- If an admin uses the brief assistant to summarise a homepage brief or draft a reply, only the brief field is sent to the Lovable AI Gateway for that request. It is not sent the submitter's name or company as separate fields, though the brief itself could contain identifying details.
- A team member may send a reply to the email address you provide. The message is sent through Lovable's transactional email service, and the application attempts to record a copy with the enquiry.
These messages are for handling your enquiry; we do not use them to send unrelated marketing.
4.Why we use your information (purpose)
| Reply to quotes and enquiries | Review and respond to your request |
|---|---|
| Plan / produce / invoice an event | Coordinate and deliver work you book |
| Keep business records | Meet applicable tax, legal, and dispute-handling needs |
| Secure and operate the website | Maintain and protect the website and its services |
The applicable POPIA justification depends on the purpose and circumstances of the processing. This table describes purposes, not legal grounds; the responsible party must confirm and document the applicable justification for each activity.
We do not sell your personal information.
5.Sharing
We may share information with:
- Operators we use to run the site and form (for example hosting and the Supabase database) — only as needed to provide the service
- Lovable transactional email service — homepage brief notifications to the team and replies requested by the team; these messages contain the details needed to deliver them
- Lovable AI Gateway — the text of a homepage event brief when an admin requests an AI summary or draft reply
- Event partners / venues / suppliers when your brief requires coordination — only what is needed for that job
- Authorities when the law requires it
We do not sell lists. We do not share for unrelated marketing.
6.Retention
We keep enquiry and client records only as long as needed to respond, manage follow-ups, deliver work, and meet applicable legal or tax record-keeping needs. We do not yet have a fixed day-count retention schedule. When information is no longer needed, we delete or de-identify it where practical, subject to applicable record-keeping requirements. Retention periods for enquiry records, email replies, and service-provider copies still need to be documented.
7.Your rights (POPIA)
Subject to South African law (including the Protection of Personal Information Act), you may ask us to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Delete information where we no longer need it (and law allows)
- Object to certain processing
- Withdraw consent where processing was based on consent
To exercise these rights, email info@360-vision-events.co.za with enough detail for us to find your record. You may also lodge a complaint with the Information Regulator (South Africa) — see https://inforegulator.org.za/.
8.Security
We take reasonable technical and organisational steps to protect personal information against loss, misuse, and unauthorised access. No online system is perfectly secure; if a breach affects you and the law requires notice, we will follow those rules.
9.Changes
We may update this policy. The effective date at the top will change when we do. Material changes on-domain will replace the prior page.
