Corporate year-end functions. Quote November and December.

Year-end functions come down to who owns the brief, the backup plan and the follow-through on the day. We produce them for corporate and brand teams across South Africa from our Gauteng base.

1. What belongs in a year-end brief

Purpose in one sentence (recognition, client thank-you, team close-out). Audience band. Date window inside November–December. City or venue shortlist. Must-land moments — awards, speeches, arrival, photo line. Then scope: who owns the run-of-show, who chases AV, décor, catering coordination, and strike.

  • Date pressure — venues fill early; write the real window, not “sometime in December”.
  • Must-work outcomes — programme timing, power path, show-stop authority.
  • Fit — corporate and brand year-end functions.

2. Venue packages vs floor ownership

A hotel package is not production. Packages leave AV, décor, crew, and programme on separate contacts — and the client becomes the integrator on the day. Full-floor ownership means one team running concept through strike under one invoice.

  • Packages alone — room + catering shell; you still chase the rest.
  • Floor ownership — ONE team · ONE Concept · ONE Event · ONE Invoice.

3. Contingency written for summer season

Year-end days fail on power, weather, and late programme changes more than on décor boards. Ask who owns failover before load-in. Write the response path into the run-of-show. Name the owner and the show-stop rule.

4. One team on the day

Prefer one accountable production stack over a chain of finger-pointing suppliers. Cue sheet, guest flow, awards timing, and strike sit under one floor owner when the brief needs it.

  • Run-of-show owner — name and role, not a generic inbox.
  • Change windows — lock when the programme stops accepting “one more speech”.
  • Strike — same owner as show day, or a documented handoff.

5. Nationwide year-end, not Joburg-only

Corporate year-end functions nationwide across South Africa. Johannesburg and Gauteng are a strong base — not the whole market. Same ownership test wherever the brief lands.
